Delete your TixNexa account or organization
Applies to the TixNexa website and the TixNexa mobile app. Deleting happens immediately, from inside the app, with no waiting period.
Delete your own account
Any signed-in person can do this, whatever their role:
- Sign in to TixNexa (website or mobile app).
- Open Settings, then the Security tab.
- Under Delete account, open Delete my account…
- Type DELETE, enter your password, and press Permanently delete my account.
You cannot delete your account while you are the only active admin of an organization. Either make another teammate an admin first, or delete the organization instead (below).
What is removed when you delete your account
- Your sign-in: password, authenticator-app secret, passkeys and any password-reset link.
- Your push-notification registrations, and your in-app notification inbox.
- Your membership of every organization you belonged to. Any tickets you were working on are handed back to the queue, unassigned.
- Your name and email address. Your name becomes "Deleted user" and your email is replaced with a placeholder address that belongs to nobody, so the real address can be used to sign up again.
- Every device you were signed in on is signed out.
What is kept, and why
- Tickets, replies, notes, time entries and other work records belong to the organization, not to the individual who typed them, and the organization needs them for its own records. They stay, but with your name removed: the author name on notes and replies you wrote, and your name in history lines and notifications about your actions (for example "approved by"), become "Deleted user". The organization's own administrators control that content and can delete it.
- Two things are not changed. A name that someone else typed into free text (for example an asset's "Assigned to" field, or a note that mentions you), and tickets where you were the requester rather than a member of staff, which keep the requester details the organization recorded. This also covers the separate directory record (name, address, phone, equipment assigned to you) an organization keeps about a person who has logged a ticket or been handed equipment: deleting your own staff account never touches a directory record kept about you as a requester or an equipment holder, even if it shares your email address. Ask the organization's administrator to edit, merge or erase those instead.
- If a record of something you did cannot be separated from you (for example it is part of an audit trail of who revealed a device recovery key), your account row is kept as a deactivated, anonymised placeholder so that history stays accurate. It has no name, email, password or way to sign in.
Delete an entire organization
Only an organization's admin can do this, and it affects everyone in the organization:
- Sign in as an admin and open Settings, then Security.
- Under Delete account, open Delete this organization…
- Type the organization's exact name, enter your password, and press Permanently delete the organization.
If the organization pays for a subscription, the subscription is cancelled first. If it cannot be cancelled, nothing is deleted and you are told why, so you are never billed for data that is gone.
What is removed when an organization is deleted
- Everything the organization stored: tickets and their conversations, attachments (the uploaded files themselves), assets, vendors and software licenses, knowledge-base articles, time entries, automation rules, canned responses, saved settings, connected-integration credentials, and notifications.
- The accounts of teammates who belong to no other organization. (Someone who is also in another organization keeps that membership.)
This cannot be undone and there is no recovery. Before deleting, use the CSV export on the Tickets, Assets and Knowledge base pages to keep a copy of anything you need.
What is kept after an organization is deleted
- A minimal security record that the deletion happened: the organization's name, the email of the admin who performed it, and the date and time. It is kept so we can investigate abuse or a dispute, and contains no ticket or asset content.
- Billing records held by our payment processor, Stripe, which it keeps for its own tax and legal obligations.
- Short-lived backups made by our database host for disaster recovery. Deleted data is not restored into the live service, and ages out of those backups on the host's normal schedule.
We cannot recall copies that already left the service under your organization's own instructions, such as a message posted to your Microsoft Teams channel or text sent to your own AI provider account.
How long it takes
Immediately. When you confirm, the deletion runs at once and you are signed out and returned to the login page.
If you cannot sign in
If you have lost your password and authenticator, or your organization no longer exists, email support@tixnexa.com from the email address on the account and ask us to delete it. We will confirm it is really you before deleting anything, and aim to finish within 30 days. Your organization's admin can also remove your access at any time from Settings, Team.
Are you a requester, not a staff member? People who ask an organization's IT team for help do not have TixNexa accounts. Their name and email appear on tickets the organization holds. To have that removed, ask that organization's IT administrators, or email us and we will pass the request on.
